As we progress into 2021, there is an atmosphere of uncertainty and confusion in the working world. Wherever you are, and whatever your circumstances, we wish you all a happy and safe year. We may not have all the answers as far as Covid is concerned, but we have made several observations in the past months, and we would like to help bring improved solutions to as many organisations as possible.

There are obvious differences now the majority are home based. We are predominantly using our laptops, PC’s, and tablets to communicate, and the frequent office meetings, and face to face communications are less frequent. There is a reliability on email and written communications over board room catch ups and water cooler interactions.

Email is great, and of course, forms the basis of much of our own work, so we are advocates. But, not at the expense and value of face-to-face communications.

How can we communicate more effectively?

So, what is the problem and what is the answer? Sometimes, written communications can be misconstrued. We write quickly and may miss out important components of a conversation. Email has it’s place, but not all communication is best written.

Using our voice allows us to listen to our own thought processes, as well as the people we are in conversation with, and creates opportunities for wider ideas and input.

There will be times when email is a barrier to good communication, and we can communicate more effectively. Due to the pandemic, this is hard. However, there are options, and these can bring the office experience to your home environment.

What are the next steps?

Meetings in Microsoft Teams makes the experience so much easier. As soon as you create the meeting, you can start chatting with the participants about the agenda, share the files that you need them to review, and keep track of the meeting notes and to dos. 

Then after, the recording of the call is immediately available in the same tab, so if you missed the meeting, you don’t need to hunt for the recording. It’s right there, with the meeting notes and agreed actions. 

Drowning in your emails becomes a thing of the past. As conversations are now held in a structural way in Teams, you no longer have all the email-upon-email response, often sent as a Reply All.

And if somebody needs to send you a file, or ask you a one-liner question, you can do this in Chat. 

While on the move, you need to stay connected, be reachable and have access to all your resources. With the Teams phone app, you have immediate access to all your apps and documents. You can easily respond to chat and conversations, join meetings with one click and continue to collaborate. So even on the move, you are kept completely in the loop.
